Creating a follow-up sequence
Sequences send a series of follow-up messages automatically, so no lead falls through the cracks:
- Go to Sequences and click New Sequence (or open the Templates tab and pick a ready-made template).
- Choose the trigger:
- New lead: starts when a lead is created. Narrow it with the Target field to one lead source or one lead group, or leave it on All Pool. Leads from your website forms and widgets are enrolled only when "Enroll leads from website forms" is on in the Settings tab.
- Meeting booked: starts when a lead books a meeting.
- Manual start only: leads are enrolled from the Leads page with Start sequence (one lead or in bulk).
- From HubSpot / Salesforce / Pipedrive / Zoho: starts for new leads coming from that connected CRM.
- Add steps from the palette:
- Email: rich-text email with a subject, sent from your primary or a chosen connected mailbox.
- WhatsApp: plain-text WhatsApp message.
- Wait: every step has a delay in hours that runs after the previous step (0 = send right away).
- Condition: checks whether the lead replied or opened the previous email, then continues on the YES or NO branch.
- Manual task: notifies your team and pauses the lead until the task is marked done in the Queue tab.
- A/B test: turn it on for an email or WhatsApp step and write a Variant B to compare two versions.
- Save as draft, or Publish to make the sequence active.
Good to know:
- A reply, a booked meeting or an opt-out (unsubscribe) stops the sequence for that lead.
- Daily email and monthly WhatsApp limits, quiet hours (no sends between the hours you choose; the same start and end hour means no quiet hours), weekend sends and Spam Protect are set in the Settings tab.
- The Queue tab shows upcoming, sent and failed steps; failed steps can be retried one by one or all at once.
